About this job
We are seeking a highly organized, proactive, and personable Administrative Assistant to support our CEO & Board Chair. This role is integral to the smooth operation of our organization, helping to manage the Founder’s schedule, communications, and various administrative tasks. The ideal candidate is a detail-oriented self-starter who can work independently and as part of a team.
Roles & responsibilities
- Draft quarterly BMC newsletters that will turn into monthly newsletters
- Create and manage BMC’s LinkedIn Page, IG and Facebook Pages
- Lead Coordinator for the BMC Pathways program
- Manage BMC’s first Mentoring Day in May 2026
- Organize BMC’s 2nd biennial gala March 28, 2026
- Manage BMC’s Volunteer Program
- Schedule Management: Coordinate and manage the CEO & Board Chair’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Communication: Handle all forms of communication on behalf of the Founder, including emails, phone calls, and written correspondence. Screen and prioritize messages, - ensuring timely responses.
- Meeting Support: Prepare agendas, materials, and minutes for meetings. Attend meetings as necessary to provide administrative support.
- Documentation and Reporting: Maintain accurate records, files, and databases. Assist in the preparation of reports, presentations, and other documents.
- Event Planning: Assist in the planning and execution of events, fundraisers, and special projects.
- Research: Conduct research as needed for various projects and initiatives.
- Liaison: Act as a liaison between the Founder and staff, board members, donors, partners, and other stakeholders.
- Office Management: Oversee office supplies and equipment, ensuring the office environment is efficient and organized.
- Confidentiality: Handle sensitive information with the utmost discretion and.
Qualifications
Education: Bachelor’s degree preferred.
Experience: Minimum of 3 years of experience in an administrative role, preferably in a nonprofit or similar setting.
